The Pump Centre operates within Arcadis Consulting (UK) Ltd (an Arcadis group company).

Whether you are a client, supplier or business partner the global Arcadis Privacy Notice explains how and why we collect and use your personal data. It also outlines your rights on how to obtain, review or withdraw your data.

Water Equipment Show – Privacy Notice

This local notice gives you details about the personal data that the Pump Centre collects and processes when you visit and input your information into the Water Equipment Show registration system EventReference.com and the Water Equipment Show website, waterequipmentshow.com.

The EventReference.com registration system is provided by our data processor, Reference Technology Ltd, Unit 1-3 The Pavilions, Tamworth B77 

The Water Equipment Show website, waterequipmentshow.com is hosted and managed by Glow Creative Ltd, Durham Workspace, Abbey Road, Durham, DH1 5JZ.

The Pump Centre has agreements in place with these authorised service providers to safeguard your data protection interests. 

We may change this Privacy Notice from time to time. Any such changes will be posted here, and any material changes will be made prominent. We encourage you to review this page from time to time.

Data Collected

When you visit and use the Water Equipment Show website and the registration system, we collect the following information:

• the data you input on the registration form.

• the data you input to sign up for specific services within the event e.g., MS Teams, information downloads, technical presentations etc.

• your IP address, and details of which version of web browser you use.

• information about how you use the site. We use marketing and Google Analytics cookies to enable us to track visitor behaviour and measure site performance. These help us to provide you with a good experience when you browse our website and allow us to improve our website. It in no way gives us access to your computer or any information about you, other than the data that you choose to share with us.

This data can be accessed by selected Pump Centre staff and by the authorised service suppliers (listed above) who assist with the operation and delivery of the Water Equipment Show.

How we use your data

We will use the information that you provide on the registration system to:

• confirm your registration.

• understand who is intending to attend the event.

• provide you with updates and reminders about the event you have registered for.

• provide you with information about other similar Pump Centre events, training, and activities.

We will use the information that you provide on the website ( waterequipmentshow.com ) to:

• provide you with information about the event and the presentations you have registered for.

• facilitate the operation of third-party applications during the event, for example: MS Teams etc.

track visitor engagement and to measure site and event performance.

allow selected sponsors, when required, to follow up the interest you have already shown in their company, products, and services.

• provide statistics for management reports 

The lawful basis for these processing activities are your consent and the fact that the processing is necessary for the performance of a contract to which you are a party or our legitimate interest (as more particularly set out within the Privacy Notice.

The Pump Centre will primarily contact you via email, but on occasion may need to contact you by phone or SMS, if you have provided that data. Emails will only be sent for the purposes stated and the frequency of the emails will be kept to a minimum.

You can opt out of our marketing emails at any time: by using an "unsubscribe" link in the email, by replying to the email from the registered email address with the word “unsubscribe” in the subject box, or by contacting the Pump Centre in writing and asking to unsubscribe. Your data will then be deleted from our system.

Please note, once we receive an ‘unsubscribe request’ we try to delete a contact as quickly as possible but, on rare occasions, there is the possibility that a message may be sent out prior to deletion.

Where your data is stored

We store your registration data on secure servers in the European Economic Area (EEA).

Access to your personal data is only authorized to the extent such access is necessary to serve the intended purpose and for the respective staff to perform their job. Staff that are authorized to access your personal data may include your Arcadis point of contact, and Arcadis personnel such as within Finance, Reporting, Internal Audit, IT, marketing and Legal.

From time to time, we may need to make personal data available to unaffiliated third parties. We sometimes use a third-party emailing service (MailChimp.com) to deliver some of the Water Equipment Show content and promotional emails. MailChimp stores your data on servers outside of the EEA and has their own privacy policy which can be viewed here.  We share only the minimum information necessary to send you event specific emails using MailChimp, this includes your name, company name and email address. We will put in place agreements with third party service providers and professional advisors to protect your data protection interests.

In case the recipient of the personal data is based outside the European Economic Area to a country that is not considered to have a level of data protection adequate to the EU, Arcadis will ensure that this transfer is based on appropriate safeguards including EU Model Clauses or Binding Corporate Rules. Information on such safeguards can be obtained via the Arcadis Privacy Officers at privacy@arcadis.com.

By submitting your personal data, you agree to this.

Disclosing / Sharing your personal data

Your information will only be used by the Pump Centre and its authorised suppliers for the Pump Centre’s business activities as described above.

We may share your contact data (name, company name and email address) with selected event sponsors after the event on the basis of legitimate interest, if we have evidence that you have interacted with that sponsor during the event by:

  1. Attending one of their presentations (conference, breakout, innovation etc.).

  2. Downloading information (brochures, product data etc) from their virtual exhibition area.

  3. Contacting them via the “MS Teams”.

All event sponsors have agreed to use the information shared with them solely for the purpose of following up your known interest in their company and have agreed to respect the security of your personal data, to treat it in accordance with the law and comply with GDPR.

We will not sell your information to third-party organisations for marketing, market research or commercial purposes.

We will only pass on your personal information if we have a legal obligation to do so.

Keeping your data secure

Sending information over the internet is generally not completely secure, and we cannot guarantee the security of your data while it is in transit. Any data you send is at your own risk.

We have procedures and security features in place to keep your data secure once we receive it.

We will retain your data until you ask us to remove it, or it is no longer required for our business purposes.
